HubSpot integration is one of the most crucial features for quality lead management, and it is available on Dripify. The native HubSpot integration allows you to transfer your leads from Dripify to your database on Hubspot automatically without the need of having a Zapier account which is quite expensive and makes the entire integration process more manual.
Follow the step-by-step guide on how set up HubSpot integration:
Step 1. Connect HubSpot to Dripify in Settings
Go to “Settings”;
Click “Integrations”;
Find the “HubSpot” integration option and click “Connect” to begin the integration set up.
If the authorization is successful, you’ll see the notification: “Your HubSpot account has been successfully connected”
⚠️ Only one HubSpot account can be connected at a time.
Step 2. Configure field mapping
Field mapping is a mandatory step where you make sure the correct data are synchronized between Dripify and HubSpot. First name, Last name, LinkedIn profile URL, Email and LinkedIn conversation fields are always preselected while other fields are selected manually.
The following 21 Dripify lead fields are available for the mapping:
First name
Last name
LinkedIn profile URL
Email
LinkedIn conversation (however, it is transferred with the “After LinkedIn reply is received” trigger only)
Custom Email
Corporate Email
LinkedIn Email
Country
City
Position
LinkedIn Premium status
Website
Phone number
Company name
Company website
Industry
Number of company employees
Number of company followers
Education
Campaign name
Once the required fields are selected, click “Save”.
Step 3. Enable HubSpot for the campaign
You can enable integrations in the “Settings” step of each campaign when creating or editing a campaign. In the “Integrations” section, you’ll see the available options:
Webhooks
HubSpot
You can select one of these options or both options simultaneously using the toggles. This enables using multiple integrations in parallel within a single campaign.
Step 4. Configure triggers
When you select “HubSpot” in the “Integrations” section, the following configuration options become available:
After a connection request is sent
After a connection request is accepted
After a first message is sent
After a LinkedIn reply is received
After request withdrawn
Step 5. Choose HubSpot segment to push lead’s data to (optional)
You can choose a HubSpot segment/list where leads will be transferred to. All synced leads are automatically added to “All Contacts” in HubSpot. Optionally, you can also add them to one additional Static segment (previously named list), which should be automatically fetched and displayed in the dropdown.
Step 6. Launch the campaign
Once the required triggers and segments are selected, you can save and launch the Dripify campaign. Your HubSpot integration is now active, and the lead data will be pushed to HubSpot automatically.
Usage of HubSpot
How it works?
When a campaign trigger is activated, Dripify sends the lead's data to HubSpot, so the sync occurs at the moment the trigger fires. The data includes all the fields you have selected while setting up the HubSpot integration at Step 2.
💡Field mapping rule for emails: the main “Email” field always uses the highest priority available email: Custom email -> Corporate email -> LinkedIn email.
Override works based on the Dripify campaign trigger. This means that mapped field values are pushed to HubSpot only when a campaign trigger is activated. If the contact already exists in HubSpot, their mapped properties will be overridden with the current Dripify data at the moment the trigger is activated.
When a lead is synced to HubSpot, Dripify automatically assigns the contact owner based on the following logic:
If the contact does not have an owner in HubSpot, the Dripify user who connected the HubSpot account will be assigned as the owner
If the contact already has an owner in HubSpot, the existing owner will not be changed
Please note, if you activate the “After LinkedIn reply is received” campaign trigger, Dripify transfers LinkedIn conversation to the Contact activity section in HubSpot.
HubSpot Integration Disconnect
If you need to disconnect HubSpot from your Dripify campaign, you can just click the trash icon.
If you disconnect the HubSpot integration manually while campaigns with the integration are running, the campaigns continue running, but all active lead syncing is stopped.
⚠️ If you reconnect the same HubSpot account, the leads that triggered while HubSpot was disconnected will not be synced retroactively (because it was a manually performed disconnect).
HubSpot Integration Error Handling
If the HubSpot integration becomes disconnected or stops working due to some external reasons, the campaign continues running, but lead syncing to HubSpot is stopped for all campaigns where HubSpot was enabled. You are informed of the issue with a banner: “Your HubSpot account has been disconnected. Please reconnect to resume lead syncing”.
There are two types of errors:
the HubSpot integration is disconnected or stops working because of some external reasons;
one or more mapped HubSpot fields are modified, deleted or become unavailable
The HubSpot integration error handling is resolved in the following way:
Click “Reconnect”;
You’ll be redirected to “Settings” where you find “Integrations” and the HubSpot icon;
Click “Connect” and your HubSpot account will be reconnected;
Or set up the correct field mapping if this type of error occurs.
⚠️if the user successfully reconnects after the error, leads that triggered while HubSpot was disconnected are synced retroactively.
